ADVISING NOTES FOR FACULTY

Revised for Spring 2007


Dear ME Faculty:

As an advisor of students, it is very important that you carefully check the accuracy of a plan-of-study (POS) form of a student and give him/her the best possible advice for their education. Here are some key points you need to know for advising and plan-of-study approvals:

  1. A new curriculum is in effect, starting Fall 2003. Please familiarize yourself with this new curriculum by studying the map and its links at: http://www.engr.iupui.edu/me/bulletin/programmapfall2003_files/slide0002.htm . It applies to all incoming students. Continuing students can also choose this curriculum, provided that they meet all of its requirements.

  2. One semester before graduation, all students must have their plan of study approved. They must also register for the candidacy course, CAND 991, one semester before graduation. In addition, they must submit a form to the School Recorder's office at ET 215A to apply for graduation. Graduation applications are available in the Recorder's Office (ET 215A) or in the ME department. Deadlines for this application are September 15 for December Graduates, February 1 for May Graduates, and April 15 for August Graduates. Application for graduation cannot be made unless the plan of study is approved and processed.

  3. Please borrow the student's file from the department office while advising students on plan-of-study, and the return it as soon as you are finished with it.

    You may also have access to student files using the Web Advising option on the Faculty/Advisors Administrative Services page on the Student Information System, OneStart, at http://onestart.iu.edu . In addition to your network user name and password, you also need an advisor password to use it. It is a very useful system to retrieve student information. You should have already received an advisor password to use this system. I recommend you to use it and please let the department know if you do not know your password or have further questions.

  4. Please check whether the information provided by the student on the POS is correct or not. This may be done by comparing the plan of study against the latest degree progress report and transcript of the student. Courtney can provide you the most recent copy from the system if needed or students can provide one. Completing a thorough initial evaluation of the POS may save you time in the long run. By catching simple errors in the first stage of evaluation, you may prevent yourself from having to reevaluate a POS that contains errors, which are not found until later stages of evaluation.

  5. Please make sure that the course transfer information (usually prepared by Nancy Lamm or Janet Meyer) on the transfer forms are reflected on the POS correctly.

  6. Please check whether the general education courses taken meet the requirements, and whether they are among the approved list of courses The guidelines and lists are posted on the Web. Make sure that elective choices are written on the plan of study.
  7. All POS forms, including the change of POS form are on the Web site http://www.engr.iupui.edu/me/funderform.shtml .

  8. All sophomores, juniors, and seniors must meet with their advisors at least once each semester in order to be able to register in the following semester's advance registration time.

    • Even though it would be better for students to see their advisors before they register in a semester, it is acceptable to meet with the advisor after they register too.

    • The purpose of this policy is for students to review with their advisors each semester their long- and short-term goals, plans, needs, courses, pre-requisites, and plan-of-study at a time convenient for them and their advisors, and receive the best possible advise for their education and career. Please note the courses registered or to be registered on the forms.

    • Before registering for a course, compliance to pre-requisite and co-requisite requirements of courses is very important. The best place to check pre-requisites and co-requisites of ME courses is our Course Syllabi page at http://www.engr.iupui.edu/me/fdescription.shtml .

    • Students should contact their advisors via e-mail or phone to setup a 15-minute meeting.

    • This process is designed to establish a fruitful mentorship relationship with the students. It is an opportunity to publicize our graduate program, research areas, electives, etc. Therefore, please be responsive to student requests to setup an appointment, and let me know if any problems or concerns to make it work.
