Why can’t a student register?
5 Possible Reasons1. Is the student term activated?
Term activation means permission to register. Everyone currently enrolled is "term activated" for the following semester. A student has to be enrolled currently to be term activated for the next semester.
Students need term activation to access the registration system. To check for term activation, go to Learning Management and using the 10-digit ID number or the look-up feature using the student’s first and last name pull up the student’s record. Click on the blue “I” icon. Here you’ll see the student’s current program and major and a link for term activation. Click on the link. If you see the current registration term and a “Y” for eligible to register, the student has been term activated.
2. Does the student have a hold on his/her record?
Contact offices place holds for various reasons including, but not limited to:
- Academic probation.
- Outstanding account balance.
- Meningitis Compliance. Go to OneStart and click the Immunization Compliance Form link. Read, insert electronic signature. Submit. This is an overnight update once submitted online.
- International Students. Contact the Office of International Affairs.
It is the student’s responsibility to contact each office that has placed a hold on their record at the phone number provided. Only the campus office that placed the hold can remove the hold.
To see Holds, go to Learning Management pull up student’s record and click on the red, No (stop sign) icon.
3. Does the student need a class permission?
If the Schedule of Classes indicates that “Instructor Consent Required,” a class permission needs to be entered by the department secretary that manages the course allowing the student to register for the course.
4. Is there a time conflict?
The registration system will not allow a student to register for classes with conflicting times (one class overlaps a second class). However, if the overlap is only a few minutes, the student can go to the instructor of each class to get permission to leave class early or arrive late.
To initiate the time conflict process, the student completes a Schedule Adjustment (Add/Drop) form using the course information that creates the time conflict. An advisor and Dean’s signature are required on the form as is additional documentation (Memo) from an instructor/advisor outlining “how” the time conflict will work. The student brings both the Schedule Adjustment form and the documentation to the Dean’s Office, gets the Dean’s signature of approval and carries the form to the Registrar’s Office (CA 133) for processing.
5. Is the student taking more than 18 hours of classes?
The registration system will allow a student to register for a maximum of 18 hours. Any hours over 18 is considered an overload. If the student’s academic advisor wants to grant permission for a student to register for more than 18 hours, this process is initiated with a Schedule Adjustment (Drop/Add) form. The student completes the form using the course information that creates the overload. An advisor and Dean’s signature are required on the form as is additional documentation (memo) from the advisor justifying the need for an overload. The student brings both the Schedule Adjustment form and the memo to the Dean’s Office, gets the Dean’s signature of approval and carries the Schedule Adjustment form to the Registrar’s Office (CA 133) for processing.
